Organize a Session - DEADLINE HAS PASSED
A Call for Individual Oral and Poster Abstracts will go out in May

ACES 2014 offers a variety of ways to participate in the program development process.  Proposals for the following session formats are being accepted until March 31, 2014.  For more information on the specific requirements of each session format, click on the headings below.

PRE-CONFERENCE WORKSHOPS ORGANIZED ORAL SESSIONS FEATURED POSTERS TOWN HALLS
Workshops are pre-conference trainings lasting 3 or 6 hours on Monday, December 8th. Workshops will be included as part of the conference registration fee, but pre-registration is required and workshop attendance will be limited under the guidance of each workshop organizer to ensure a quality training environment. Individual abstracts are encouraged but not required for workshop presenters. Organized sessions will be part of the main conference agenda. Sessions are 105 minutes long and contain five (5) 20-minute talks with a five minute moderator introduction. Sessions may include panel discussions and be delivered with PPT or PPT-free. Presenters in organized sessions are required to submit individual abstracts. Want more one-on-one audience interaction? ACES 2014 is seeking proposals for interactive poster sessions.  These sessions will take place during the concurrent session and will be in addition to the formal full poster session held Wednesday, December 10, 2014.  Featured Poster Discussions will highlight a topical grouping of posters related to the ACES 2104 themes and will feature 5 to 10 poster presenters. Town Halls last 60-90 minutes and take place in the evening hours of the ACES conference. They are an excellent way to seek out discussion and input from the resource that is the ACES Community. Town Halls will be moderated discussions under the leadership of the organizer. Topic leaders may also be identified, though formal presentations are discouraged in favor of group discussion.

Which session type is right for me?

Pre-Conference Workshop Monday only

Half-day (3 hours) or Whole-day (6 hours).

Maximum of 4 workshops going on at one time.

Flexible format with varied number of speakers. Organizers have the most flexibility for set-up and structure in this format.

New to 2014 – Workshops are included in the main conference registration. We expect higher attendance on Monday than in past ACES.

Abstracts are optional.

Organized Oral Session Tuesday - Thursday

105 minutes long, containing 5 separate 20-minute speaking slots.

There will likely be 8 concurrent oral sessions happening at one time.

Organizer is typically the moderator for this session. May be presented with PPT or PPT-free, most will have PPT.  Rooms are set theatre style with optional panel tables at the front of the room.

Final session slot may be used for discussion, however it is strongly encouraged that you maximize individual speaking opportunities.

Featured Poster Session Tuesday - Thursday

105 minutes long

Held as a concurrent break-out session in addition to 8 oral break-outs.

Session will take place in poster room and session posters will be grouped. Organizer will provide an introduction to session and then individual conversations with presenters will fill the remaining session time.

This is the most interactive and individualized option for presenting. If you are seeking feedback and input from your colleagues on a recent project, this may be the best session for you.

Abstracts required for each poster.

Town Hall Monday or Wednesday

60-90 minutes in the evening.

May be more than one occurring at the same time, though historically it has been one on each evening.

Sessions have a leader which sets an agenda, and possibly a couple of topical leaders to frame the conversation. This is not a place for formal presentations.

Can be used as a working group to seek input from the larger ES Community.

No abstracts required for town halls.
